How it works

Three steps to complete
hotel guest data.

1
Guest connects to hotel WiFi
Your branded CaptiveWiFi portal loads on the guest's device. Name, email, room number and marketing consent are captured before they connect.
2
WiFi session linked to hotel stay
CaptiveWiFi matches the guest by email or room number to their active reservation in Hotel Cloud. The WiFi connection is recorded against the stay.
3
Hotel Cloud profile enriched
Verified email, consent status, visit data and tags sync into the Hotel Cloud guest profile automatically. No manual data entry, no imports, no gaps.
Why CaptiveWiFi + Hotel Cloud

Every stay. Every guest.
First-party data captured.

Hotel Cloud manages reservations. CaptiveWiFi captures what happens during the stay — WiFi connections, verified emails, consent, and return visit data that PMS alone can't provide.

WiFi linked to guest stays
Every WiFi connection is matched to the active reservation in Hotel Cloud. Guest profiles are enriched with verified first-party data from the moment they connect.
Verified, opted-in email addresses
Every email is verified at WiFi login — not copied from a booking form. Hotel Cloud receives clean, opted-in emails with full GDPR consent records attached.
Return guest recognition
When a guest returns for a future stay, CaptiveWiFi recognises their email, updates their Hotel Cloud profile and surfaces their full visit history before check-in.
FAQ

Common questions about
Hotel Cloud + CaptiveWiFi.

How does CaptiveWiFi link a WiFi session to a hotel stay?
CaptiveWiFi matches guests to their Hotel Cloud reservation by email address or room number captured at the WiFi portal. When a match is found, the WiFi session is recorded against the active stay and the guest profile is updated with verified contact data and consent status.
What if a guest books through a third-party OTA and uses a different email?
If the email at WiFi login differs from the OTA booking email, CaptiveWiFi will create or update a Hotel Cloud guest profile using the verified WiFi email. Over time this builds a richer, first-party email list that isn't dependent on OTA-sourced data.
Is this compliant with hotel data protection requirements?
Yes. CaptiveWiFi only transfers data to Hotel Cloud where the guest has explicitly opted in at the WiFi portal. Every record carries a consent timestamp, the wording displayed at capture, and IP address. A full DPIA is available on request.
