How it works

WiFi login to Impact Data contact
in under 10 seconds.

1
Guest logs into WiFi and opts in
Your branded CaptiveWiFi portal captures the guest's name, email and marketing consent. The opt-in wording is fully configurable and GDPR compliant out of the box.
2
CaptiveWiFi syncs to Impact Data
Opted-in guests are pushed into Impact Data immediately. The contact record includes verified email, first and last name, visit date, venue tag and full consent metadata.
3
Impact Data automations fire
Welcome sequences, first-visit offers and re-engagement campaigns trigger automatically against the new contact. Returning guests update existing records and can trigger separate flows.
Why CaptiveWiFi + Impact Data

Impact Data markets to your guests.
CaptiveWiFi finds them for you.

Impact Data is built for hospitality marketing automation. CaptiveWiFi feeds it a continuous stream of verified, consented, hospitality-ready contacts — captured at the moment a guest is physically in your venue.

Grow your Impact Data CRM automatically
Every WiFi opt-in adds a verified, consented contact to Impact Data. No spreadsheet uploads, no data cleaning — just a continuous flow of hospitality-ready contacts from every session.
GDPR consent captured at source
Opt-in consent is captured at the WiFi portal and flows into Impact Data with a full audit record — timestamp, exact wording shown, IP address. Your marketing list is compliant from day one.
Trigger welcome and re-engagement campaigns
New WiFi contacts trigger welcome sequences in Impact Data immediately. Returning guests update existing records and can fire re-engagement or loyalty campaigns based on visit frequency.

FAQ

Common questions about
Impact Data + CaptiveWiFi.

Does CaptiveWiFi only sync opted-in guests to Impact Data?
Yes. CaptiveWiFi only syncs guest data to Impact Data where the guest has explicitly opted in to marketing at the WiFi portal. Guests who decline marketing are captured for analytics purposes only and are never pushed to your Impact Data marketing list.
Can Impact Data campaigns fire automatically when a guest connects to WiFi?
Yes. Once a guest is added or updated in Impact Data via the CaptiveWiFi sync, any existing Impact Data automations tied to that contact status will fire — welcome emails for new contacts, re-engagement flows for lapsed guests, and loyalty campaigns for returning regulars. The timing and logic is configured in Impact Data as normal.
What happens when a returning guest connects to WiFi again?
CaptiveWiFi matches the guest's email against existing Impact Data contacts. Their record is updated with the new visit date and frequency data, and any returning-guest tags are applied. This can trigger separate automation flows in Impact Data for returning customers — for example, a loyalty reward or re-visit offer.
Is the consent data captured at WiFi sufficient for Impact Data marketing?
Yes. CaptiveWiFi captures opt-in consent with a full audit record including the exact opt-in wording shown, timestamp and the guest's IP address. This consent record is passed to Impact Data alongside the contact, giving you a compliant, auditable basis for marketing under GDPR.
